Privacy at OnHandly

Your inventory is your business. We treat it that way.

This policy explains what OnHandly collects, why we need it, who helps us operate the service, and how you can control or delete your information.

Who we are

OnHandly is an inventory-management service operated by WatchGrid LLC. This policy applies to the OnHandly web application, the OnHandly mobile apps for Android and iOS, the marketing site, and related support services.

Information we collect

Account and workspace information

We collect the email address, user identifier, display name, organization membership, role, and authentication information needed to create and secure your account. Passwords are handled by our authentication provider and are not visible to OnHandly staff.

Inventory and operational information

We store the information you and your authorized teammates enter into OnHandly, including item names and numbers, barcodes, suppliers, costs, locations, quantities, count results, notes, and movement history.

Device and service information

We may collect a device identifier, device name, app version, timestamps, network and synchronization status, and diagnostic information needed to keep the service reliable and secure.

Camera access and barcode scanning

The iOS and Android apps use the camera only when you choose to scan a barcode. Barcode recognition occurs on the device. OnHandly stores the decoded barcode value you attach or use, not a photo or video of the scan. On Android, Google Play services may process limited device, application, performance, and scanner-usage metrics to operate and improve its on-device code-scanning service; it does not receive the barcode image or decoded result from OnHandly.

Billing and support

When an organization purchases a plan on the web, our payment provider processes billing details and returns identifiers and subscription status to us. We do not store full payment-card numbers. We also retain messages and files you choose to send to support.

How we use information

  • Provide authentication, shared workspaces, barcode scanning, inventory movements, cycle counts, reports, and synchronization.
  • Enforce workspace roles, plan limits, trial status, and fraud or abuse controls.
  • Maintain audit history, troubleshoot failures, protect accounts, and improve reliability.
  • Process organization billing and communicate service, security, support, and account notices.
  • Meet legal obligations and enforce our terms.

OnHandly does not sell your information. Our marketing site uses the Meta advertising pixel; it never runs inside the product.

Service providers and disclosure

We share only the information needed for trusted providers to operate OnHandly. These providers include Supabase for database and authentication services, Stripe for web billing, our website hosting providers, our email provider, and — on the marketing site only — Meta for advertising. They process information under their own security and privacy commitments.

We may also disclose information when required by law, to protect customers or the service, or as part of a business transaction such as a merger or acquisition. We do not give advertisers access to OnHandly customer data.

Workspace access and ownership

Inventory data belongs to the organization that controls the workspace. Workspace owners and administrators can give other members access and may view or manage records created by those members. If you use OnHandly for an employer or another organization, that organization may control its business records even after your individual account is removed.

Retention and deletion

We retain active account and workspace information while the service is in use. Security logs, support records, billing records, and operational audit history may be retained for a reasonable period when needed for security, accounting, dispute resolution, or legal compliance.

You can delete your account from the iOS or Android app under Account. Deletion runs immediately: your OnHandly account and associated personal profile are removed when you confirm, you are signed out, and the email address becomes free to register again. This cannot be undone. If you cannot access the app, use the public account deletion request page from any browser; requests made that way are handled by a person and we complete them within seven days.

Shared business records may be retained for the organization's legitimate operational, audit, and legal needs. When retained, we remove or minimize direct links to the deleted personal profile unless law requires otherwise.

Security

We use encrypted connections, access controls, organization-level data isolation, protected credentials, and monitored infrastructure designed to prevent unauthorized access. No service can guarantee absolute security, so please use a unique password and report suspected misuse promptly.

Your choices and rights

You may access and correct most account and workspace information through OnHandly. Depending on where you live, you may also have rights to request access, correction, portability, restriction, objection, or deletion of personal information. Contact us to exercise a right. We may need to verify your identity before completing the request.

Children and international use

OnHandly is a business service and is not directed to children under 13. We do not knowingly collect personal information from children. Information may be processed in the United States or other locations where our providers operate, subject to appropriate safeguards.

Policy changes

We may update this policy as OnHandly changes. We will post the revised effective date here and provide additional notice when a change materially affects how we use personal information.
